Administrative Case Studies

Accounting Clerk Services

Contracting Agency: Defense Finance and Accounting Service (DFAS) – Cleveland, OH Call Center

CPS was awarded a BPA by DFAS to supply their centers with temporary administrative and clerical support through individual competitive task order award amongst six other BPA holders. Immediately following that award, CPS won the first competitive task under this BPA to supply Accounting Clerks at the Cleveland Call Center in support of staff augmentation requirements during tax season, their historically peak period of business.

Results: CPS recruited, and supported as many as 20 FTEs during this contract, which lasted a total of six months. In a high-turnover situation, CPS responded for the duration of this initial assignment with only one incident of turnover, relocation to another state where the employee was actually hired again through CPS.

Claims Examiner Services

Contracting Agency: Social Security Administration

CPS responded to the requirement of the Social Security Administration to find qualified personnel to support them in the processing of Social Security disability benefits in the State of Louisiana. Due to Hurricane Gustav, the SSA was faced with the daunting task of responding to augmented needs within a section of the country claiming the highest examiner attrition rate in the nation. With many of their “experienced” internal staff having little or no training themselves, it became essential for CPS to provide the SSA with only experienced, qualified personnel that were determined to see the project through to the end of service.

Results: CPS was able to provide the SSA with the required number of candidates to meet their needs during this crisis. With very limited turnover and a hands-on approach that required the direct assistance of some of our key staff we were able to handle the logistics of a very short turnaround request for multiple locations within Louisiana. Zero incidents involving CPS employees were reported.

Civilian Payroll Clerks

Contracting Agency: Defense Finance and Accounting Services (DFAS) Charleston, in Support of Fitting Out and Supply Support Assistance Center (FOSSAC)

CPS was responsible for providing DFAS-Charleston payroll clerk support responsible for the review of active and inactive payroll records, along with process new and incoming documents relative to the requirement. Employees would also be responsible for researching and responding to customer queries.

Results: Workloads during the project increased in scope by over 40% over initial estimated volumes. CPS support and project duration remained within initial budgets and time constraints.

VISN 1 BPA – Medical Records Coding Support

Contracting Agency: Veterans Administration – VA New England Healthcare System

Since its early beginnings, CPS has been supporting VA hospitals and their related medical facilities, along with military installations worldwide in their requirements for Medical records Auditing, Training and Coding support. Because of their efforts in this arena, CPS was awarded a VISN-wide BPA to provide all hospitals PRN support of their need for backlog and current medical record coding and auditing support. Since this contract was awarded we have supported four of the eight main medical centers in the coding and auditing of over one hundred thousand inpatient and outpatient records. This support has resulted in millions of dollars of savings within the VA New England Healthcare System.

Results: Our support of the VA New England Healthcare System continues even today. CPS continues to provide PRN medical records coding support to their facilities, and to other facilities like those in VISN 1 nationwide.

Administrative Support – General Clerk, Secretary, Paralegal and Administrative Assistant.

Contracting Agency: Commodity Futures Trading Commission (CFTC), in support of Mid-Atlantic CASU – multiple office locations

CPS staff has been actively supporting the CFTC for several years in this endeavor. Staffing assignments are located in three major metropolitan locations – Washington, DC, New York, NY, and Chicago, IL.

Results: CPS was tasked by Mid-Atlantic to support one of their premiere clients, the CFTC with complete administrative support in multiple vocations. Over the course of the last three years, CPS has developed a close working relationship with the CFTC through Mid-Atlantic, maintaining quality support and meeting all requirements in a timely fashion within budget requirements.

Custodian Worker Support

CPS is tasked with providing all custodial services, supervision and labor necessary to maintain the HML facilities, including all offices, conference rooms, laboratories, showers and locker rooms, restrooms, facility entrances, lobbies, foyers, stairwells and storage areas. CPS employees are responsible for maintaining proper supply levels and reporting any and all incidents of needed repair or potential safety hazards. Personnel under this project worked normal business hours.

Results: Initially a scoped as a year-to-year assignment, after our first year of service, CPS received a direct five year contract to provide staff support for this work by NOAA-HML. Scheduled to run into May of 2012, our services have continued to meet or exceed expectations for the client.
